Job Summary
The Executive Assistant is highly organized, proactive, and detail-oriented providing comprehensive support to the Chief Executive Officer. This role serves as a critical partner to the CEO, ensuring seamless day-to-day operations, managing complex scheduling, and acting as a key liaison between the CEO and internal and external stakeholders. The ideal candidate thrives in a fast-paced corporate environment, exercises exceptional judgment and discretion, and anticipates needs before they arise.

Essential Duties & Responsibilities
Calendar & Schedule Management
- Manage the CEO's complex and evolving calendar, including scheduling meetings, conferences, travel, and personal commitments with precision and foresight.
- Proactively resolve scheduling conflicts and prioritize appointments based on business objectives and the CEO's preferences.
- Prepare daily and weekly briefing materials, agendas, and background documentation for all meetings.
Communication & Correspondence
- Serve as the primary point of contact between the CEO and internal teams, board members, investors, regulatory bodies, and external partners.
- Draft, review, and manage correspondence including emails, letters, presentations, and reports on behalf of the CEO.
- Screen and prioritize incoming communications, ensuring timely responses and appropriate follow-up.
Travel & Event Coordination
- Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries.
- Plan and execute executive-level meetings, board meetings, investor presentations, and company events
Strategic & Administrative Support
- Support the CEO with special projects, research, and data analysis related to corporate strategy, partnerships, and industry trends in the biomedical sector.
- Ability to read, interpret, and summarize legal and contractual documents for executive review
- Liaise with cross-functional departments to track project milestones and ensure alignment with CEO priorities.
- Prepare expense reports, manage purchase orders, and oversee the executive office budget.
- Maintain organized filing systems for confidential documents, contracts, and regulatory submissions.
Confidentiality & Stakeholder Relations
- Handle highly sensitive and confidential information with the utmost discretion, including proprietary research data, financial details, and personnel matters.
- Build and maintain strong relationships with key stakeholders including board members, investors, scientific advisors, and regulatory contacts.
Office Administrative and HR Support
- Assist in the onboarding and orientation for new hires
- Support recruitment activities: job postings, applicant communications, interview scheduling, and job fairs
- Assist with Open Enrollment and employee benefits administration
- Support employee engagement through event planning and coordination
- Maintain uniform inventory and distribution
- Provide professional reception and visitor hosting (“Host Like a Pro”)
- Maintain office supplies, beverages, and kitchen inventory
- Organize office operations, procedures and maintain office equipment
- Support employee requests regarding office management issues (e.g. supplies, hardware and travel arrangements)
Experience, Education, CERTIFICATIONS, OR Other Requirements
- Bachelor’s degree in business administration, Life Sciences, or a related field.
- Minimum of 5-7 years of executive assistant experience, preferably supporting C-suite executives in the biomedical, pharmaceutical, or life sciences industry.
- Outstanding written and verbal communication skills with a professional demeanor.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Zoom, Teams).
- Must be able to complete a post-offer, pre-employment criminal background check and drug screen.
Pay: $55,000.00 - $65,000.00 per year
